Why Units Move to Vantage
Your current tools capture activity, but lose information
Paper inspections get ticked but tell you nothing about condition. Shared boards fill up with cards but lack validation or audit trails. Spreadsheets go stale. Memory fails when people rotate. Handover-by-message drops context. The information that matters most disappears between the cracks.
Paper & Boards
Activity without information
Ticks with no meaning
Paper inspections show completion, but nothing about actual condition.
Unstructured cards
Shared boards lack validation, consistent usage, or audit trails.
No closure, no proof
Defects get noted, maybe mentioned, then forgotten. No ownership.
Information degrades with every handover
With Vantage
Structured operational data
Condition, not just completion
Pass/fail logic, counts, photos, and notes capture what actually matters.
Context that travels
History, decisions, and fixes stay with the asset — not with the person who leaves.
Accountability by design
Every action logged. Defects tracked to closure. Audit-ready without extra work.
Information preserved across every handover
Core Capabilities
Structured data that captures condition, not just completion
Vantage connects inspections, defects, and equipment into a single operational picture. When something is checked, flagged, or moved — the record stays with the asset, not with the person who did it.
More than a checklist — real operational data
A checklist is only as good as the information it captures. Vantage inspections enforce structure so tasks are done properly, consistently, and defensibly.
What it replaces
Paper ticks, inconsistent standards, no validation
What you gain
- Pass / fail logic where outcomes matter
- Numeric counts where numbers matter
- Text notes and photo evidence where condition matters
- Helper images and embedded instructions for guidance
Works together: When an item fails during inspection, create a defect with one tap — checklist context flows through automatically (vehicle, equipment, timestamp, inspector).

Defects that don't disappear
When a defect is found, it doesn't just get noted — it gets tracked. Recorded against the asset, assigned ownership, and closed with evidence. No more 'I thought it was fixed'.
What it replaces
Sticky notes, verbal mentions, forgotten emails
What you gain
- Defects tied to specific equipment or vehicle
- Status tracking: Open → Acknowledged → In Progress → Resolved
- Evidence of closure required before sign-off
- Complete history preserved for each asset
Works together: Separate from safety incident systems like SafeGate — but just as accountable. Equipment and vehicle defects managed in one place.

Know where everything is — and what condition it's in
Every piece of equipment has a location, a condition, and a history. See what's at the station, what's on a vehicle, what's assigned to a member, and what's due for service.
What it replaces
Whiteboards, sign-out sheets, 'ask around' culture
What you gain
- Location tracking across stations and vehicles
- Expiry and service date monitoring
- Assignment history with handover context
- Maintenance guides and documentation attached
Works together: When equipment moves or changes status during an inspection, the inventory updates automatically — no double-entry required.

One Place to See the Unit
If you needed to understand the state of the unit in five minutes — this is where you'd look
Vantage brings together everything about your unit's readiness into a single operating picture. Leaders and members can see what's ready, what's not, and what's coming up — without asking around.
Vehicles and equipment
Where everything is, what condition it's in, and when it was last checked — across all stations and vehicles.
Inspections and audits
Full history of every check, who did it, what passed, what failed, and what actions followed.
Defects and maintenance
Open issues, repair status, parts ordered, closure evidence — all tied to the specific asset.
Locations and expiries
Service dates, certification expiries, and equipment locations that update as things move.
Bookings and upcoming ops
Unit calendar showing vehicle bookings, training sessions, and scheduled maintenance.
Guides and documentation
Operating procedures, maintenance guides, and reference materials attached to the assets they apply to.
Need real-time incident management and dispatch?
See Vantage Ops for emergency servicesBuilt for Volunteer Reality
Designed for how units actually work
Volunteer organisations have unique challenges: rotating personnel, ad-hoc activity, overnight operations, and varying experience levels. Vantage is built to handle all of it.
Rotating people
Knowledge stays with the unit, not the individual. When people leave, the context doesn't go with them.
Ad-hoc and overnight work
Vantage works offline and syncs later. Inspections done at 3am are captured just as well as 3pm.
Varying experience levels
Helper images and embedded instructions guide people through the right steps — without relying on memory or local knowledge.
Institutional memory
When volunteers leave, the knowledge stays. Inspection history, decisions, and context preserved for whoever comes next.
Designed to Grow
One system. Not more silos.
Today: inspections, defects, equipment, vehicle bookings, and readiness. Coming next: smart triage, incident command, fleet tracking, and crew terminals — building toward a complete operational picture.
Security & Data
Enterprise foundations for operational data
Access controls, audit logging, and data separation are foundational — not afterthoughts.
Role-based access
Define who can view, edit, or administer each area. Roles cascade by organisation, station, and function.
Complete audit trails
Every action logged with timestamp, user, and IP. Export logs for compliance reviews.
Organisation separation
Data is siloed by organisation. No cross-contamination, no accidental exposure.
Export controls
Control who can export data and in what formats. Track export history.
Security FAQ
All data is stored in an Australian data centre with enterprise-grade encryption at rest and in transit. We maintain SOC 2 Type II compliance and can provide data residency options for Australian and US jurisdictions.
Yes. You can configure retention periods by data type — active records, archived records, and audit logs can each have different policies. We provide tools to export before deletion.
Administrators can create time-limited access for temporary personnel, contractors, or auditors. Access automatically expires, and all actions during the access window are logged.
You receive a full data export in standard formats. After a 30-day grace period, data is permanently deleted from our systems. We provide written confirmation of deletion upon request.
Yes. We maintain an incident response plan with defined escalation paths. In the event of a security incident, affected organisations are notified within 24 hours with details and remediation steps.
Pricing
